The Ramsden Heath Golf Society Annual General Meeting Minutes 2025
Date: Monday 3rd February 2025 Venue: The Nags Head at Ramsden Heath Time: 7.30 pm
1. Report of Treasurer - Terry Attew has provided a breakdown of the society's accounts for 2024 which showed that the Society has an outstanding balance of £676.87 from 2024.Account details have already been sent directly to members via Email. Terry stated that the account balance needs to be increased to allow for any unforeseen financial issues which could arise during 2025.
2. Report of Secretary - The Secretary thanked all those present for taking time out to attend the meeting and to those members who sent their apologies for absence. He also thanked all members for providing their continued support during 2024.He thanked Terry, for his accounting work as Treasurer and Chris for his statistical work in maintaining all the Scoring and Handicap records during the year.
3. Handover to new Committee - The Secretary then confirmed the resignation of both Himself and the Handicap Secretary, and handed over to the incoming members who intend to takeover these functions for 2025.
4. Election of Officers - The meeting proposed and seconded elected Officers for 2025 as follows: Chairman John Colbear / Captain Phil Smith / Vice Captain Simon Hall / Treasurer Terry Attew / Secretary Phil Bird / Handicap Sec. Dave Kitchens / Trophy Sec Phil Bird / Engraving Sec Simon Hall. The meeting thanked Peter Smith for his efforts as Captain for 2024 and welcomed Phil Smith as the Incoming Captain for 2025 and Simon Hall as Vice Captain for 2026.The meeting then welcomed the new committee members: Nic Abarno, Dave Kitchens, Phil Bird and Gary Boyes The outgoing Secretary and handicap Secretary were then thanked for all their efforts in previous years.
5. Venues for 2025 - Society Days. All the Venues for 2025 have been booked by Dave Kitchens and an updated list of these venues can be found on the Website. Phil Smith has chosen his Captains Day to be held at Boyce Hill Golf Course on Thursday 5th June 2025,
6. Membership Subscriptions - It was agreed by the meeting that the subscriptions will be £25 this year. This includes £5 toward Third Party Insurance cover for each member, in the event of any accidents on the course, and is to be set up by Terry Attew. Subscriptions should be paid prior to the Abridge meeting on Wed 19th March 2025,via bank transfer, or on the day. Terry will maintain the list of members for 2025 and the current list will be updated on the website
7. Cost and Payment for Golf Days - It was stated that the cost of venues generally has increased substantially, and the venues chosen this year are more expensive so it was agreed by the meeting that members will now pay £75 at each venue with non members paying the full cost. .If there is a no show on the day, for a member who has said they would attend, then depending on the circumstances, they will still be required to pay. 3rd February 2025.
8. Website - The website will continue to be used in 2025 and Nic Abarno will liaise with Simon Massey regarding the format and future maintenance of the Website.
9. Ryder Cup - It was agreed by the meeting that there will be no Ryder Cup this year due to the organization change within the society, involving the recruitment of new members and possible restructuring of the Golf Days.
10. Dress Code - We have a very good record for adhering to the dress code requirements of the different venues we attend each year, but just to reiterate that all Golf Clubs have dress code standards which we must follow.
11. AOB - The meeting thanked Justine for providing the Buffet for our AGM.- The meeting also thanked John Colbear for his generous donation of £100 for a4 ball Golf Voucher from Stockbrook Manor Golf Club.- New signatories are required for the Society Bank account. This is to be decided before our first meeting in March.- Phil Smith stated that he would like to change the playing format on his Captains day eg. a knockout competition or match play. There will also be other small competitions during the day.- Both Alex Carroll and Phil Bird stated that they were expecting to introduce new members to the Society during 2025. Phil bird stated that that he will be organizing Prizes and Trophies for each meeting during 2025, and Simon Hall to ensure that all trophies are engraved appropriately.- Chris Vander referred back to Public Liability Insurance and strongly recommended this be in place. Some members have their own Golf Insurance which includes Public Liability Insurance and therefore do not need to pay the additional £5.00 to cover this. In addition RHGS Members who have Active Golf Handicaps, will already have Public Liability Insurance provided by Golf England. Each Golf Club RHGS play should have Public Liability which should include paying guests, but needs to be checked, bearing in mind RHGS Public Liability Insurance is on a named person basis and will not include guests, unless an extension to the policy can be made.

1 Report of Treasurer
Terry Attew has provided a breakdown of the society's accounts for 2023 which showed that the Society had made a loss of £1160.55 during that period.
Account details have already been sent directly to members via Email.
The account balance remains healthy and allows for any unforeseen financial issues which could arise during 2024.
Terry also stated that he would ensure that the society had insurance cover during 2024

5. Membership Subscriptions
It was agreed by the meeting that no subscriptions will be taken this year.
Terry will also provide a list of members for 2024.
6. Cost and Payment for Golf Days
The society will continue to subsidise the more expensive venues this season, and it was agreed by the meeting that members will continue to pay £60 at each venue.
7. Website
The website will continue to run in its current form during 2024 with no changes.
8. Ryder Cup Event
The 18th Ryder Cup day has been arranged by TPGS and will take place at
Crondon Golf Club on Wed 26th June 2024 and will consist of 18 holes.
Currently TPGS are 5 competitions up with 11 wins to our 6.
9. Dress Code
We have a very good record for adhering to the dress code requirements of the
different venues we attend each year, but just to reiterate that all Golf Clubs have
Dress Code standards which we must follow.
10. AOB
The meeting thanked Linda for once again providing such a fine
Buffet for our AGM.

1. Report of Treasurer
Terry Attew previously provided a breakdown of the society's accounts for 2021 which showed that the Society had made a loss of £361.24 during that period.

The account balance remains healthy and allows for any unforeseen financial issues which could arise during 2022
2. Report of Secretary
The Secretary thanked all those present for taking time out to attend the meeting and to those members who sent their apologies for absence. He also thanked all members for providing their continued support during 2020/21
He thanked Terry, in his absence, for his accounting work as Treasurer and Chris for his statistical work in maintaining all the Scoring and Handicap records during the year

The meeting thanked Nic Abarno for his efforts as Captain for 2020/21 and welcomed Gary Boyes as the Incoming Captain for 2022.
It was confirmed that the Vice Captain, Simon Hall, will become Captain in 2023.
The meeting thanked Gary and Simon for agreeing to undertake these positions.
It was also proposed and agreed that a Vice Vice Captain should be elected to succeed the Vice Captain in 2023 to eventually become Captain in 2024
Peter Smith kindly accepted to take up this position.
It was proposed and agreed that John Colbear will become our new Chairman in place of Steve Pool who has stepped down. John has kindly accepted this position.
It was also stated by both Roy and Chris that they will be giving up their functions as General Secretary and Handicap Secretary after the 2024 AGM.
4. Venues for 2019 Society Days
All the Venues for 2022 have been booked, an updated list of these venues can be found on the Website.
Gary Boyes has chosen his Captains Day to be held at Woodbridge Golf Course on Wed 8th June 2022,
5 Membership Subscriptions
It was agreed by the meeting that subscriptions remain at £20 for 2022
All those who have not subscribed but still wish to be members should do so on or before the March Golf Day (Wed 23rd March 2022 at Colchester GC).
6. Cost and Payment for Golf Days
The society will subsidise the more expensive venues this season, and it was agreed by the meeting that members will now pay £60 at each venue,
Guests will continue to pay £5 extra at each venue.
7. Website
It is hoped to make some improvements to the website, particularly enhancing the attendance function whereby you can enter your name and see it immediately on the attendance list, also to be able to switch your name from attending to non attending if required. You will be kept informed as changes are made.
8. Ryder Cup Event
The 16th Ryder Cup day has been arranged by TPGS and will take place at
Stoke by Nayland Golf Club on Wed 13th July 2022 and will consist of 18 holes.
Currently TPGS are 3 competitions up with 9 wins to our 6.
9. Dress Code
We have a very good record for adhering to the dress code requirements of the
different venues we attend each year, but just to reiterate that all Golf Clubs have
Dress Code standards which we must follow.
10. AOB
The meeting thanked Linda for once again providing such a fine
Buffet for our AGM.
The handicap system needs to be revised and brought into line with TPGS to
ensure that the Ryder Cup handicaps are correct for both sides.
Chris is liaising with Alan Forman, the handicap Secretary for TPGS, to
establish a handicap system they both agree with.
Chris will issue the results, once agreed.

Venues for 2019 Society Days
All the Venues for 2020 have been booked, an updated list of these venues can be found on the Website.
Nic Abarno stated that he would like his Captains Day to be held at Orsett Golf Course on Wed 15th July 2020.
5 Membership Subscriptions
It was agreed by the meeting that subscriptions remain at £20 for 2020
The meeting thanked all those people who already submitted their Subscriptions.
All those who have not subscribed but still wish to be members should do so on or before the March Golf Day (Wed 18th March 2020 at Toot Hill GC).
6. Cost and Payment for Golf Days
It was stated by the Treasurer that the society will subsidise the more expensive venues this season, but to balance out the costs involved, members will continue to pay £50 at each venue,
Guests will now pay £10 extra at each venue.
There will also be no individual discounting for our Christmas meeting.
Instead it was proposed that a Standard charge of £30 be made for members only.
It was proposed that the 2021 venues should include a couple of exclusive Golf Clubs.
This will result in our charges being increased next year, the actual amounts to be specified at the next AGM.
7. Website
The Existing Website address will be changing as the current Web host is being phased out and a new one is to take its place.
The new Website will look very similar to the existing one but we hope to provide more practical additions such as the Attendance list showing your entries as they are made.
It is hoped to have it up and running by the end of February 2020
8. Ryder Cup Event
The 15th Ryder Cup day has been arranged by RHGS and will take place at
Crondon Golf Club on Wed 17th June 2020 and will consist of 18 holes.
Currently TPGS are two competition up with 8 wins to our 6,
So we have our work cut out this year to get back in the running
9. Dress Code
We have a very good record for adhering to the dress code requirements of the
different Venues we attend each year.
There have been a couple of exceptions during this time but it just to reiterate that most Golf Clubs have Dress code standards which we should follow.

1. The meeting thanked Linda for once again providing such a fine buffet for our AGM.
2.The handicap system for 2019 was successful and no new changes were proposed for 2020, except that, for the Ryder Cup meeting, official club handicaps will be used for those members who belong to a golf Club.
